2022 Wedding Trends

Weddings have changed more than ever in recent years. While there are a few factors involved in how trends develop, the most significant change in the wedding world has been the presence of the pandemic. As a result of social distancing and other requirements for proper COVID-19 etiquette, several changes have stuck around in the last couple of years. Other trends are unrelated to the pandemic but can provide some creative insight into your 2022 wedding.

Backyard Venues

Although backyard weddings became something of a necessity throughout the pandemic, it seems the trend may be sticking around. Both the ceremony and the reception can be held in the same location, offering hosts and guests a smooth transition from wedding to party. The backyard venue is cost-saving and allows people to go mask-free in the open air, given space is readily available for proper distancing.

Vintage Jewelry

Both vintage and faux-vintage rings are trendy in 2022. There’s something about a reminder for simpler times that adds to the ambiance of a vintage piece of jewelry. This year, get ready to see gorgeous, antique-styled engagement rings and wedding sets.

Weekday Wedding Date

Many couples have been opting for a weekday wedding in a (successful) effort to cut costs. Venues are far less costly on a weekday than a weekend. While it may be difficult to arrange a weekday wedding where all of your friends and family can attend, a smaller wedding on a weekday is often possible and worth the savings.

E-invites

Electronic wedding invites and save-the-dates mostly started because of the need to change dates in 2020 and 2021. The pandemic created a demand for wedding plans to be easily altered. Now, in 2022, e-invites are sticking around. There are many ways to create them, both free and paid. Another benefit is the impact a virtual invite will have on the environment compared to paper copies.

Short Wedding Dresses

Long wedding dresses were once the only wedding dresses. While traditional styles still exist, so do short dresses, known as the little white dress. The little white wedding dress grants brides the ability to go from wedding ceremony to wedding reception without issue. Say the vows and hit the dance floor in the same dress.

Unique Table Layouts

With a need to distance tables from one another, 2022 weddings will continue to see unique layouts. Venues have had to get creative in setting up tables to allow people from different households to be separated. While that may not be necessary for the 2022 wedding season, the creativity involved in the process is expected to carry over, and unique setups are sure to intrigue guests.

Flower Preservation

Although brides tend to throw their bouquets or keep a single flower for memory’s sake, brides are now saving entire bouquets with flower preservation. Varying methods are becoming more and more popular for saving flowers associated with great memories.

Production Services You Need At Your Next Event

Planning an amazing event takes a lot of time and know-how. Unsteady of trying to do it all yourself, consider taking advantage of the services of a professional event production company. They’ll make sure everything is set up correctly and that the event goes smoothly. If you’re considering hiring a production company, here are a few production services you may need at your next event.

Venue Sourcing

You need to hold your party somewhere, but finding the perfect venue can be a big job. An event production company will be able to take the task off your hand and reserve your ideal location. As a company, they serve as event experts, so they’ll know of all the best venues around and likely have established contact with most of them. A professional relationship between the venue and production company will make booking easy. Plus, the company will take care of all the details that you may not have thought of, like transportation for guests, room booking, and other services. They’ll also be able to negotiate contracts that work for everyone.

Event Coordination and Management

Aside from venue booking, a production service will also serve as an event coordinator and manager. They’ll make sure that the event is ready to go on time and executed perfectly. Company employees will be designated to manage guests, vendors, rentals, insurance, equipment and more. That means all you have to do is enjoy the event while everything is taken care of for you.

Audio/Visual

One of the most common services a production company will offer is audio/visual. This includes sound and video systems, screens, projectors, music and more. Opting for a professional service means that you’ll get access to the best lighting and sound equipment without having to spend thousands on it yourself.
The event production company should work closely with the venue to ensure that they can accommodate equipment safely. They should also ensure that all safety regulations are followed closely to adhere to the venue’s standards.

Videography

One service many event planners opt to include is videography. An event production company will generally have an in-house photographer and/or videographer to record the event. As with audio/visual services, professional production company video and photography equipment will be incredibly high-quality.
The company may also offer live streaming/broadcast video options if the event is to be streamed.

Design and Staging

One thing that makes an event stand out is attractive design and staging. Whether your event is formal and will include centerpieces and wine glasses or is a conference-style lecture, your production company team will help you create the ambiance you need with decor, props, creative lighting, and more.

How Stage Design Can Impact Corporate Events

Stage management is one thing, but stage design is a whole different thing entirely. How you handle your stage design goes a long way in determining how much impact your event will have on your audience. With the right stage design, your audience members will leave mental pictures of how successfully the event turned out to be. They leave the event inspired and energized.
To have that kind of success with your event, you would likely want to find out how stage design can impact your event, right? Below are four elements that can give life to your circumstances.

Illumination

Lighting is not just the word. Illumination is. Illuminating the whole space with brilliant lights can change the event space from a bland environment to a completely different area. Professional lighting can alter the mood of the audience. It can also heighten the spirit of the audience when used effectively. Switching between brilliant lights when introducing influential personalities or vital information can help trigger the retentive memories of the audience. Professional lightning makes the event a memorable one.

Visuals

Visuals play a significant role in leading the audience. It keeps their mind preoccupied as they stay engaged. Visual aids such as animations, high-impact videos, and 3D projections help to present boring information in illustrious and captivating ways. It helps to sustain your audience’s attention. Stage backdrops, LED walls, and projection stages can also help to communicate your message but leave a lasting impression of your brand in the minds of members of your audience.

Space location and management

Stage design can be tasking because it entails working with limited options to achieve the best results possible. Choosing an excellent location for your event and a nice area for your stage helps to direct your audience. Transforming the stage into a unique space helps to enhance the appearance of the brand you wish to promote. It also complements the speakers and contributes to the quality of presentations done on the stage.

Backdrop and banners

This is the new marketing skill in corporate events. Instead of having humans navigate through the difficulty of language, a digital stage banner strategically placed on the stage can engagingly do the marketing. It can perform better by presenting multimedia content in an informative and exciting way.

Wide screens may also be used. They are highly effective for extensive-stage management. These banners and backdrops do not only help to inform your audience. They notify the audience with a highly immersive effect that leaves images in the minds of attendees.

What Do Destination Management Companies Do?

What is a destination management company? What is it that such an entity does? More commonly called DMC, this is a specialized company that offers specific professional travel services. In simple terms, some refer to it as a travel agency, but that’s a simplification of what a DMC is. If you’ve never heard of a DMC before or aren’t quite sure what they do, here you’ll get the opportunity to learn about this business. What do destination management companies do? Let’s attempt to answer that question.

What is a Destination Management Company?

A destination management company or DMC is a third-party company that an individual or group hires for their professional services in planning and implementing out-of-town event programs and activities, services, resources, and expertise. A DMC is valued for its extensive knowledge of the local area, professional relationships with local entities, and local resources that clients can depend on to get their activity, event, or project accomplished.

Who Seek The Services of a DMC?

A DMC can be hired by an individual, corporation, or event planner whose event will take place outside. The reason for hiring a DMC, which can be seen as a local expert planner includes knowing the best facilities, services, and businesses that can match your needs and budget; their understanding of local cultural norms, knowing where to find the best entertainment-specific and food-specific spots, and the top routes to get to particular locations/destination in the locale where you intend on visiting.

Specifics of What a DMC Does

As a specialized consultant, DMC provides services that are related to all aspects of out-of-town event/activity planning. Services that the DMC offers include:

  • Program Design: Covers venue selection and booking, organizing event activities and projects, and decor could also be included.
  • Logistics Management: Involves creating an event timeline and schedule, transportation coordination, guest arrivals, and departures coordination may be a part of the package.
  • Supplier Management: Includes selecting vendors and negotiating supplier prices for preferential rates
  • Accounting: Services cover auditing and vendor payment, and providing clients with a detailed accounting of the process

Other services may include corporate event planning, conference or meeting, hotel accommodations, and coordinating meals and local activities.

Tips for Hosting a Successful Virtual Event

The current reality is that many events, from business conferences to concerts, have been canceled from in-person and moved online. Virtual events are now commonplace and also important because of the intended goal behind them. The success of a virtual event is important to the host. How does one host a successful virtual event? Here are some useful tips that could help you with hosting your next virtual event.

Establish a Game Plan to Guide You

Before your virtual event can take form, you have to come up with a solid strategy. That begins with a clearly established goal and event concept. Start your planning early, whether the event is large or small. Think about the experience that you want your guests to have, how you want to present the event, be it live or on-demand, the time to put on the event, how you’ll promote it, etc. Put careful thought into what you want to achieve with your event and how you’ll go about it. Put your plan on paper first and let that be your guide.

Make Sure Your Timing is Perfect

Timing is everything no matter the event that you are hosting. Choosing the right date and time for your virtual event is crucial no matter the platform you’ll be using. A great turnout can make an event special, so do your homework and ensure that there are no other events that your potential guests may also be interested in attending on the date you have in mind. If your event will not only be for locals, keep time zone in mind and pick a time that works best for most guests. It’s a good idea to send out a poll on Facebook, for example, with the goal of identifying the preferred event date.

Put Effort into Promoting the event

The importance of promoting your virtual event cannot be understated. You need to have a great incentive that can draw attendees and be sure to highlight that incentive. If it’s a networking opportunity or a keynote speaker, the selling point should be efficiently promoted. Make use of the different platforms to share details regarding the event, like social media(Facebook, Instagram, Twitter) and email. A fun thing to do is an event countdown that you can create on your IG. Don’t forget to also hashtag the event. Facebook is a great platform to create an event page with all the detail. You want to keep reminding people that the event is happening, keeping them engaged with pre-event promotion. You not only want them to sign up but to also be present for the event as well.

Foster and Encourage Engagement

What’s an event without some degree of engagement? Engagement will be a part of your virtual event if you foster and encourage it. There are a number of ways that you can encourage engagement, including creating mini-quizzes, live-tweeting and commentary, sending shout-outs, and spark conversation between attendees, taking questions, and incorporating surveys. It takes a lot of effort to keep an online audience engaged but it can be done. Keep the content interesting and exciting, and make use of interactive and fun features while live streaming.

Creating a Safe Office & Venue Space for Social Distancing

As the peak of coronavirus infections starts to level off in many countries, industries affected by the outbreak are starting to plan how their businesses will reopen while continuing to stay safe and practice social distancing. With the plan of reopening businesses as soon as possible, we knew we had to take action as to what measures to put in place. After carefully researching CDC, OSHA, and private organizations’ guidelines to learn best practices in the COVID-19 era, we have come up with products and services that can help you as you move to reopen your buildings, offices, and meeting and event spaces while continuing to practice safe social distancing.

Planning Safe Social Distancing

In order to have a safe social distancing plan, you’ll need to examine your space and consider your existing floorplan.  Art of the Event offers safe space consultation to clients to tailor the best safety layout for a meeting space, office building, venue or other institution.  We can consult on how to rearrange your existing floorplan and the elements within to maximize safety. We also offer floorplan generation services for those who need it.

Safety Instructions for Employees and Guests

To fully inform your employees and clients about best practices, we create custom table tents, pamphlets, and kits for public and private spaces. Within these, we have guidelines and directions on how to follow proper social distance, hand washing, and sneeze etiquette while at that facility or event. We can also create welcome and informational boards to display throughout the space.

Room Dividers, Screens, & Walls for Planned Social Distancing

As HR departments, building managers and other company stakeholders consider splitting shifts and some continuation of remote work to lessen congestion in the office and lower room capacities to lessen congestion in venues, Art of the Event provides permanent and temporary acrylic screens and dividers as well as splash shields for cubicles and heavily concentrated areas.  These elements can help people distance even while they are together.  Art of the Event also creates custom room dividers and movable walls for office spaces, meeting rooms, etc.

Other resources we are happy to provide are movable Plexi-guarded registration and medical assistant booths. These can be used for offices and meetings as well as (in the future) your meetings and special events.

Branded Social Distancing Guides

Graphic clings and stickers via floor, wall, or column wraps can guide people as they move through your space.  Directional signage creates one-way “traffic” in narrower hallways, etc.  Similar to these guides, we offer informational stair, elevator and escalator wraps to reinforce your protocols to everyone working in or visiting that facility.

Art of the Event has the unique ability to customize any and all of your guides, informational boards, room dividers, pamphlets, etc.  Our internal graphic design team can work with you to incorporate your logo, colors, and all pertinent information.

Tools and Equipment

Safety comes first so it is important to have certain items available for everyone when they arrive.  Plenty of hand sanitizer, masks, and gloves should be offered freely on-site.

No-touch hand sanitizer stands placed strategically throughout your space help to ensure everyone is sanitizing often.   We also offer temperature monitoring equipment.  Temperature checking facial recognition technology ensures an ill guest or employee can be flagged and sent home without infecting others.  Much like metal detectors, thermal imaging booths also allow for “passive” no-touch temperature checks for larger groups entering a building or venue space. We are also currently studying other technological devices to help you keep your clients, employees, guests, and spaces safe.

3 Ways to Make Your Next Event Stand Out from the Crowd

table rows

What does it take to stay on the cutting-edge of the rapidly changing world of events? Fast-moving trends can leave companies, nonprofits, and individuals continually searching for the next hot theme and the newest social-media friendly craze. Whether you’re planning a gala, a product launch, or a mitzvah, staying fresh and modern is critical when crafting a memorable event. Here are three ways to navigate this constantly shifting scene without getting bogged down in the details:

1. Follow Event Companies on Social Media

Whether you’re prepping for a wedding or a corporate holiday party, inspiration is readily available on social media! Follow industry-leaders to discover photos of unique and modern events. It will also give you a sense of what themes are hot and what company can best make your vision become a reality.

Our favorite channels? Pinterest and Instagram. Two imagery-focused platforms that let you get the full visual, and provide a bread crumb trail to similar images so you can delve more deeply into your favorite theme.

Get Inspired:

2. Discover Industry-Leaders in Event Production

How to tell if a company is a cutting-edge industry trailblazer? Look for new and unique designs, furniture, and concepts. Art of the Event’s brand new Edison Tables are one-of-a-kind and made in-house. By continually imagining and crafting unique individual pieces to make clients’ dreams into reality (or just because we had a cool idea!) we ensure that the company is always offering creative and modern designs that make each event one-of-a-kind!

Even if you’re re-using a past theme or going for a classic design, your event company’s capabilities shouldn’t box you in. Take a look at a company’s online catalog (see Art of the Event’s here) to see what kind of variety they have.

3. Choose an Event Company that can Customize

Does the event company you’re working with produce their graphics and builds in-house? If not, your business is being outsourced to another company, and you’re paying extra! Look for companies that employ graphics and fabrication staff full-time. Not only does this save you money, but it also helps prevent confusion and allows for greater customization.

When one of Art of the Event’s producers gets a request for branded pieces, a custom build, florals, or anything else that requires a personal touch, they’re able to go right to the source. Instead of making calls to external companies, they’re able to sit down with a member of the graphics, fabrication, or floral department and figure out how to make your vision come to life. Instead of asking ‘can we do this?’ our team is able to focus on crafting your unique vision.

Bonus: Pick a Veteran Company

Another major factor to consider: How long has an event company been around? Established companies have relationships with other providers, so if they do have to outsource for a specific item, they’re able to get a deal, which is then passed along to you, the client.

It also means they have relationships with venues and are often able to work more closely with your chosen location. Art of the Event producers always offer to coordinate directly with your venue, so you don’t need to worry about the load in or set-up at all. With floor plans for almost every venue in the Boston area already on file, and team members who are familiar with the load-in and strike procedures of every hotel, conference, center, and venue in Eastern MA and beyond, picking a veteran events company can take a considerable load off of your shoulders!

How To Make Corporate Branding Stand Out

Stage decorated with brick and fake plants

Corporate branding is a crucial part of any successful corporate event. It makes a lasting impression on the guests and positions your company for success. Corporate branding is the company’s public image portrayed through a company’s logos, colors and messaging and is designed to make a lasting impact on the consumer. Events are the ideal location to communicate your branding to consumers and make a lasting impression. Leading up to an event, branded social media marketing creates excitement and familiarizes the public with your company. This is important to make a positive impact as you want to build anticipation leading up to the event.

Corporate Branding: Building Anticipation

• Using count down images on Instagram and Facebook the week leading up to the event builds anticipation and can highlight different images, parts of your event, or the past year’s event.
• Publishing speaker profiles in the weeks leading up to the event attracts the speaker’s followers as well as other people interested in the topic.
• Having a range of promotional images keeps people’s attention and prevents redundancy.

EHM logo on table

Corporate Branding: At The Event

• Branded graphics placed around the venue keeps your company front and center throughout the event. Using a company’s existing logo will help with name recognition later down the line.
• Center-pieces on cocktail tables are a great place to put your company logo and add detail to the event using company colors.
Lighting and decor colors can compliment or match a company’s logo and marketing.

White Haute Wedding Trends

Bistro Lighting

Are you one to stay on-trend year-over-year? Wedding season is in full swing and our event planners in Boston have noticed a few key differences in 2018 weddings compared to 2017 weddings. It’s all about the setting, vibe, and decor, and at Art of the Event, we’re here to make sure all three aspects of your wedding are on point and looking flawless for your big day. We can design and coordinate any type of wedding thanks to our production and fabrication team, but it’s up to you to decide what you want your wedding to look like. Below are the most popular wedding trends of 2018.

2018’s Most Popular Wedding Trends

  • Eye-Catching Escort Cards. Escort cards exist for guests to learn of their assigned seats at the reception. If assigned seating is what you plan on doing for your wedding, then why not make your escort card station really pop? Photos of you and your significant other with the table number on the back, seashells with the table number on the underside, and fake flower petals with the table number on the top all make for a creative and memorable experience.
  • Ditching the Gift Registry. Many of our past clients love the idea of getting useful and much-needed gifts at their wedding, but they have also complained about how time-consuming it is to decide on those items and set up the registry itself. Instead, many couples are just asking for cash. This cash is then used to make a down payment on a home, cover their honeymoon expenses, or to even donate to a charity.
  • Opting Out of Party Favors. You heard us right — many newlyweds said that they ditched the wedding favors in exchange for a more personalized experience for their guests. Couples are now choosing to parcel out gifts as the wedding progresses, such as offering sunglasses for an outdoor wedding, then a makeup touch-up station or flip flops for the ladies, and cigars or specialty sip stations towards the end of the night. Keep in mind that welcome baskets are still popular for destination weddings and out of town guests. Art of the Event’s designers can create beautiful displays for these guest items and amenities.
  • Unique Entertainment Features. It’s not all about the single band or DJ these days. Couples are now hiring additional entertainers to keep their guests happy and interested throughout the night. From cartoonists to photo booth stations, to magicians or lawn games, we highly recommend having a few other activities other than a dance floor that people can opt for. Don’t forget that your event coordinator at Art of the Event can contact these entertainers and book them for you. With our production services, each entertainer will have their own stage.
  • Mixing Up The Roles. It is always a custom to get the “first look” photos of the bride and groom, but this year first looks are going beyond just the star couple. We’re expecting our clients to want the photographer to capture first glances between bride and dad, groom and mom, as well as other key family members. The traditional “stag and hen” wedding parties have also undergone quite a change: these days people of the opposite sex will be standing on both sides of the couple up at the altar.
  • Non-Traditional Venue Spaces. The venue is the first impression guests receive when arriving, and couples are trying to make a statement this year by opting for a venue that’s a little less traditional. Instead of hosting the ceremony outdoors or within a church, some are opting to rent out barns, historic buildings, museums, theaters, breweries, and other venues that are meaningful to the couple. Not sure if the space you want can accommodate a wedding? Leave it to Art of the Event’s wedding planners to inquire about the space and book the venue.

Unique & Effective Branding Ideas for Events

Wooden podium

We’re full steam ahead into spring season which means way more opportunities for unique event ideas in the Boston area. If your business is planning an event and you’re looking to build business credibility, support, brand recognition, and loyalty, then your best bet is to opt for some creative branding with help from Art of the Event.

The goal of event branding is to be subtle, yet creative and eye-catching. It can take a lot of practice to master the art of event branding, which is why we highly recommend contacting a professional corporate event branding company. Here are a few creative ideas to get you started — all of which our event planning company in Boston is more than capable of designing for you.

Effective Event Branding Ideas

  • Social Media Props. There’s nothing better than setting up a corporate event Hashtag in the weeks leading up to your big event and then having your guests use it at a custom-designed social media photo booth. Art of the Event will create props guests can hold in order to make the photos Instagram-worthy while at the same time promoting your brand. This branding idea is also quite inexpensive depending on the size and scale of the props.Radius Dance Party MIT
  • Lighting. Lighting effects is what we do best here at Art of the Event and we can truthfully say there’s nothing more jaw-dropping than a large, lit-up company logo on a back wall or dance floor. Our graphics and branding department will work closely with our production crew to make sure the lighting is just right and is coordinated with your company’s logo colors or your event’s theme colors.
  • Lanyards & Badges. Planning on making an appearance at an industry conference or trade show? Make sure your company stands out with custom-designed lanyards and badges. These are great additions to the age-old business cards and are much more visible and recognizable. Let us help your representatives make a lasting first impression with colorful badges.
  • Backdrops. Sponsorship backdrops are often what you see while watching the Oscar’s or Emmy Awards, but why not bring that red carpet vibe to your next event? Sponsored backdrops are a great entry feature to have and are the perfect setup for any press or photographers who want to get a snap of a corporate executive or keynote speaker.
  • Digital Branding. If your event includes a well-positioned screen from which keynote speakers will be making presentations, then this is your chance to set up a holding screen. These screens will be displayed between presentations as opposed to turning the projector off altogether. Art of the Event will work with you to ensure that your logo is crystal clear and can be seen easily from any corner of the room.Projector screen
  • T-Shirts. There’s a reason this event branding idea keeps making the list — it’s because it actually works! Custom-made t-shirts and company apparel is a great way to build company morale as well as advertise your brand. Although Art of the Event does not provide screen printing services, we do provide branding and logo design. Let our experts custom create a t-shirt design that you can then send to the print screen company.
  • Wristbands. These little bracelets aren’t just to keep tabs on how many people are at an event, they’re also a great way to advertise a brand. Think about it: every time the individual looks at their watch or goes to shake the hand of another event attendee, that wristband is noticeable.
  • Lectern. The highlight of any corporate event is always the keynote speaker, which means all eyes are on the podium as they present. Make your brand known loud and clear by choosing a lectern branding design custom created by Art of the Event’s graphic design team. Audience members will be snapping photos that will eventually be shared online, which means your brand will end up reaching a large audience for days after the event wraps up.

  3. Cherry Blossoms. When the weather is just right, the cherry blossoms will be in full bloom across the country. Unfortunately there aren’t too many here in the Northeast, so why not bring the iconic Cherry Blossom festival from Washington DC to the Boston area? From table decor to entrance-way presentations, when you see the results you’ll swear you’ve been transported to Japan or our nation’s capital!
  4. Urban Safari. There’s no better place to be than walking around the Boston or Cambridge area during a warm spring day. Make your corporate event an all-day affair by having your employees team up into groups and heading out into town for an urban scavenger hunt. Have individuals take pictures of items on the scavenger list and reconvene at a nearby venue with a patio. Art of the Event’s graphics and branding team will ensure that your venue decor includes your corporate branding and logo.
  5. Garden Party. There’s nothing more relaxing than getting your employees together for a fun “wine and paint” event. Whether you chose to rent out an official wine and paint night venue in the city or you plan on re-creating your own at the office, Art of the Event will see to it that there are plenty of flowers and decorations to celebrate the spring season. Each guest can decorate a flower pot while sipping on refreshments. Once the pot dries, they will plant fresh spring flowers and have the opportunity to keep them at their work desk.
